When you rent an event space in Charlotte, what exactly are you getting? The answer varies more than you might expect. Some venues include everything you need to host an event. Others give you four walls and a door and charge extra for every table, chair, and extension cord. Knowing what is typically included, what usually costs extra, and what questions to ask will save you hundreds and prevent day-of surprises.

What Most Charlotte Venues Include

At a minimum, most event spaces in Charlotte include the physical space for your reserved time block, basic tables and chairs, access to restrooms, and some form of climate control. Beyond that, inclusions vary widely.

Mid-range venues often add a basic sound system or Bluetooth speaker, a small prep area or access to a kitchen, on-site staff or a venue coordinator, and free parking. Premium venues typically include a professional sound system, large TV displays, premium lighting, lounge furniture, a kitchenette or full kitchen, and dedicated staff.

What Usually Costs Extra

These are the most common add-on charges at Charlotte event venues: AV equipment rental including projectors, screens, and microphones at $150 to $500, uplighting or specialty lighting at $200 to $800, additional tables and chairs beyond what is included at $5 to $15 per item, linens and table covers at $8 to $25 per table, a dance floor if the venue does not have a suitable floor at $200 to $600, security for events over a certain size or past a certain hour at $150 to $300, overtime fees if the event runs past the reserved block at 1.5 to 2 times the hourly rate, and cleaning fees at $100 to $300.

The Questions You Need to Ask

Before booking any event venue in Charlotte, get clear answers on the following. What is the exact hourly rate and is there a minimum number of hours? What furniture is included and how many tables and chairs? Is there a sound system and how is it controlled? Is there a TV or projector for slideshows and presentations? What type of lighting is available and can I control it? Is there a kitchen or prep area? How many restrooms are there and are they private? Is parking included and how many spaces? Is there a cleaning fee? Is the deposit refundable and is it applied to the total? Can I bring my own food, drinks, and vendors without additional fees?

Print this list. Bring it to every venue tour. The venues that answer yes to most of these without hesitation are the ones worth booking.

The All-Inclusive Advantage

The most stress-free event experiences come from venues where everything is built in. When the sound system, lighting, TV, tables, chairs, and lounge furniture are all part of the base rental rate, your planning becomes dramatically simpler. You do not need to coordinate delivery times for rental companies. You do not need to troubleshoot borrowed speakers. You show up, set up your personal touches, and host.

The Soiree at Northlake includes the following with every booking at no additional cost: Sonos surround sound system with Arc soundbar, two subwoofers, and five surround speakers, a 98-inch TV display, electric fireplace, color-changing LED lighting throughout, a kitchenette with wine fridge, microwave, sink, and quartz countertop, 30 folding chairs, cocktail tables with black spandex covers, black leather lounge chairs, premium marble floors throughout, a private entrance, iPad-controlled smart climate, and two private unisex restrooms.

No cleaning fees. No AV rental fees. No furniture rental fees. The $200 deposit applies to your total balance. Visit thesoireeatnorthlake.com to check availability.
